The Telephone and Switching Department manages the university's telephone and switching systems to ensure a seamless communication infrastructure across all departments and campuses.
Key Responsibilities:
- Evaluating the university's current and future needs for switching and telephone systems (IP Telephony) and ensuring their availability.
- Performing maintenance and repairs on switching systems and devices within the university.
- Processing installation and cancellation requests for new switching systems from university departments and overseeing their implementation.
- Maintaining and repairing telephones across all university locations.
- Installing telephone cables in switch rooms within colleges and administrative units.
- Connecting and managing internal and direct telephone lines for colleges and departments.
- Registering and installing direct telephone lines across various university facilities.
- Installing IP Telephony systems and telephone devices at different university sites.
- Collaborating with other departments within the center to execute assigned projects.
- Conducting feasibility studies on new technologies and providing detailed evaluations regarding their effectiveness for university users.
- Developing project timelines in alignment with the center's overall plan.
- Preparing an estimated operational budget for the department.
- Creating the department’s annual operational plan in accordance with the proposed budget and strategic objectives, ensuring its implementation upon approval.
- Contributing to the preparation of tender documents and evaluating technical proposals to select the most suitable solutions.
- Supervising contract execution, ensuring compliance with terms, and managing financial payments.
Department Subunits:
A. Telephone Installation and Maintenance Unit:
- Installing direct telephones in colleges and university departments.
- Conducting maintenance and repairs for landline telephones across the university.
- Installing and maintaining telephone connections, lines, and cables in university facilities.
- Registering and installing direct telephone lines in colleges and departments.
B. Accounting Unit:
- Reviewing and auditing external call bills for all university colleges and departments and forwarding them to relevant authorities for necessary action.
- Coordinating with mobile service providers regarding subscriptions and services.
- Liaising with the Ministry of Communications, the Communications and Information Technology Regulatory Authority (CITRA), and other entities regarding telephone line subscriptions, leased circuits, fiber optics, and other essential services.
