Department of Administrative Coordination

The Department of Administrative Coordination reports directly to the CIS Director and is responsible for organizing and coordinating internal operations to ensure the efficient workflow of the Information Systems Center. Its duties include managing recruitment procedures in collaboration with the Human Resources Department and overseeing employee participation in training courses and workshops to enhance their skills. It also supervises the preparation and maintenance of offices and facilities in coordination with relevant entities to provide an optimal working environment.

On the financial front, the department closely coordinates with the Procurement Department, Finance Department, and Storage Affairs Department to ensure the efficient execution of purchase requests and monitors tenders in accordance with approved procedures. It oversees project-related invoices and manages the release of bank guarantees for contracted companies. Additionally, it reviews contracts and prepares estimated budgets in cooperation with various departments, ensuring the optimal use of financial resources to achieve strategic objectives.

The department also plays a role in enhancing the Center's institutional presence by coordinating media coverage of activities with the Public Relations and Media Department and managing the CIS website and social media accounts. It prepares publications and periodic reports while documenting the work of different sections to ensure transparency and consistency in executing the Center’s plans and initiatives.

 

Key Responsibilities:

  1. Organize recruitment procedures and follow up with Human Resources.

  2. Coordinate employee participation in training courses and workshops.

  3. Supervise the preparation and maintenance of the Center's buildings, offices, and facilities, coordinating with relevant entities for necessary upgrades and repairs.

  4. Oversee the Center’s participation in events to promote its activities.

  5. Coordinate media coverage of the Center's activities with the Public Relations Department.

  6. Prepare publications and media materials in coordination with the university’s printing office.

  7. Manage and update the Center’s website in collaboration with relevant departments.

  8. Supervise the Center's social media accounts.

  9. Prepare periodic and annual reports for the Center.

  10. Document the activities and reports of the Center's sections and work teams.

  11. Handle translation, printing, correspondence, and archiving tasks.

  12. Coordinate with the Central Agency for Information Technology to strengthen collaboration and achieve shared goals.

  13. Process project-related invoices and manage the release of bank guarantees for contracted companies.

  14. Monitor the document cycle for the Center’s projects.

  15. Review feasibility studies conducted by other departments, ensuring alignment with the Center’s strategic plans.

  16. Review IT contract drafts with external companies.

  17. Manage petty cash procedures.

  18. Supervise the preparation and monitoring of the Center's budget with different departments.
